JOB TITLE:  Office Manager
POSITION NUMBER: AA9992
HIRING SUPERVISOR:  Dean, College of Architecture & Design
DEPARTMENT: Dean’s Office
TYPE:  Full-Time

SUMMARY:
Provides administrative support to the Dean, as well as serves as the human resources representative for the College of Architecture and Design. The Assistant to the Dean and Office Manager supervises the full-time and part-time staff of the College, including student assistants.

JOB DUTIES:



  • Oversees and facilitates departmental correspondence (letters, emails, reports)

  • Departmental Software Support

  • Manages/facilitates the College’s personnel processes, documents, and files

  • Supports CoAD budget process

  • Act as staff support for Graduate Research Assistantships

  • Provide/Oversee staff and student support for CoAD Accreditation reports and on-site visits

  • Oversee and coordinate Industry Advisory Board Meetings

  • Student on campus hiring, supervision, and scheduling

  • Act as back-up to staff members who are out of the office

  • Support the DocuSign process, such as LOAs and other personnel forms

  • Dean's Travel

  • Process reimbursements/check requests for Dean

  • All Dean and Associate Dean Facilitated Meeting Agendas/Minutes

  • Preparation of any Advising for the Dean

  • Act as a liaison for the Dean at appropriate meetings

  • All other assigned tasks


QUALIFICATION REQUIREMENTS:
The person in this position must be able to deal with various types of situations and people in a pleasant and cooperative manner. This position also requires an individual willing to learn and update skills as necessary. This employee must be conscious of the campus as a whole and his/her position in relationship to the University.

Self-initiative is a key requirement of this position.

Candidate must be experienced and skilled in use of Microsoft applications including but not limited to Word, Excel, Access, PowerPoint, and Outlook.

EDUCATION and/or EXPERIENCE:
Bachelor’s degree and a minimum of three years office administration experience or Associate Degree plus five years experience.
